Terms of Reference

  1. Background

This document outlines the terms of references that apply to the Lydia Action Regional Office Driver. For over 21 years, Lydia Action formerly known as Lydia Foundation has been delivering solutions to different challenges in the most vulnerable communities to transform lives. Lydia Action is implementing the International European Baptist Mission (IEBM and in the southeast region of the Baptist Convention of Malawi (BACOMA) focusing on 7 thematic areas: Elderly Care, Shelter and Rehabilitation, Nutritional Support, Women Empowerment, Spiritual Transformation, Educational Support and Emergency Response. Lydia Action is also implementing the Bakat Project in the Central and South-East regions of Malawi. In these two projects Lydia Action is working with 48 support groups totaling to 211 volunteers and over 121 churches across the north and south east region in Malawi. The following are the objectives of Lydia Action:

  1. To improve the livelihood of women by providing access to technical and financial opportunities to support their income generation activities.
  2. To empower children through educational support and provision of psycho-social needs.
  3. To provide women, children including other vulnerable people affected by sudden emergency onsets with the appropriate assistance.
  4. To empower young university students through skills development and non-profit management knowledge and experience

 

  1. Structure

Under the overall responsibility and direct supervision of the HR and Administrative officer – with a second line of overall guidance from the Organization Coordinators, the driver will provide reliable and safe driving services to Lydia Action’s staff and visitors ensuring the highest standards of discretion and integrity, sense of responsibility, excellent knowledge of protocol and security issues.

The driver will also help in procurement of organizational tools and delivery/collection of parcels, documents and other items for Lydia Action offices.

 

  1. Scope of work

The Regional Office Driver duties and responsibilities include the following:

  • Ensuring provision of reliable and safe driving services for Lydia staff and the delivery and collection of procured items, mail, documents and other necessary office items.
  • Ensuring cost-savings through proper use of the vehicle through accurate updating of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.
  • Ensuring day to day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely change of oil, checking of tires, brakes, car washing etc.
  • Ensures availability of all the required documents/supplies including vehicle insurance, vehicle logs and necessary spares in the assigned vehicle
  • Ensuring that all immediate actions required by rules and regulations are taken in case of involvement in accidents
  • As part of Lydia Action team that will be operating in the field maintaining and upholding Lydia Action’s code of conduct and ethics.

   Specific tasks

  • Ensuring that the vehicle is checked on faults and cleanliness on a daily basis before leaving the office premises.
  • Reporting on the condition of the car and developments to the administrative assistant every day after the car is parked at the end of the day
  • Communicating on the next service to the administrative assistant two weeks prior to the actual scheduled service date.
  • Ensuring on a daily basis that all the passengers observe all the safety procedures like passenger capacity and wearing of seat belts.
  • The driver is responsible for loading and offloading of goods into the vehicle and ensuring the security of both the car and the goods on board.
  • Checking weekly schedule for the office and preparing his schedule for that particular week.
  • Ensuring that each time he carries a well charged phone and that it is on all the times unless it’s outside working hours.

 

  1. Qualifications
  1. Minimum of a Malawi School Certificate of Education (MSCE) with a valid driver’s license.
  2. Ability to drive a manual car with defensive driving skills.
  3. 4 – 5 years of experience in a similar position
  4. Good interpersonal  skills
  5. Good communication.
  6. Ability to work effectively under pressure and drive in rough roads.

 

  1. Working Location

The Regional Office Driver shall be based mainly in Zomba at the regional office. However, the Driver may be required to operate at the National Office in Lilongwe from time to time.
